About the job:
We are seeking a highly organized and proactive Business Support & Personal Assistant to provide comprehensive administrative and operational support to BBVA France. This role is crucial for ensuring the smooth and efficient functioning of daily operations and supporting key personnel.
Job Responsibilities
Manage and maintain complex calendars, scheduling appointments, meetings, and travel arrangements for senior coverage team and BBVA France Management.
Prepare and edit correspondence, presentations, reports, and other documents with accuracy and attention to detail.
Organize and coordinate internal and external meetings, mainly client meetings, including preparing agendas, taking minutes, and following up on action items.
Assist with certain tasks and processes related to commercial activity, such as onboarding new clients, steering commercial activity, and coordinating stakeholders.
Act as a primary point of contact for internal and external stakeholders, screening calls and directing inquiries appropriately.
Assist with various business support tasks, including office supply management, vendor coordination, and basic IT troubleshooting.
Support project management activities, including tracking progress, maintaining documentation, and communicating updates.
Handle confidential information with discretion and professionalism.
Process expense reports, invoices, and other financial documentation accurately and in a timely manner.
Perform ad-hoc administrative duties as required to support the overall efficiency of the office.
Job Qualifications
Proven experience as a Business Support, Executive Assistant, or Personal Assistant in a fast-paced corporate environment.
Exceptional organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
Strong verbal and written communication skills.
English and French are a must. Spanish would be a plus.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant business software.
High level of discretion and ability to handle sensitive and confidential information.
Experience working with AI to enhance processes and improve efficiency.
Proactive and resourceful with a strong problem-solving aptitude.
Excellent interpersonal skills and a professional demeanor.
Ability to work independently and as part of a team.
Bachelor's degree in Business Administration, Secretarial Studies, or a related field preferred.
